Destination weddings ask guests for more commitment

It wasn't long ago that attending a friend's wedding meant spending a Saturday night eating prime rib and dancing to cover versions of “Louie Louie” and “Brown Eyed Girl.”

Now, it might involve three days in Mexico or a long weekend in Maine. There could be scuba diving, cruises, square dancing or a marshmallow roast at a national park.

With a growing number of couples opting to exchange vows far from where they and most of their guests live, saying “yes” to an invite has taken on a whole new meaning.

“Destination weddings” can be fun. And time-consuming. And terribly expensive. Those most likely to be invited to a lot of weddings - people in their 20s, say - also tend to have the least seniority at work and the least disposable income.

Some guests, of course, are happy to pack their bags.

“I love the opportunity to travel and go somewhere I wouldn't have gone, or just to have an excuse to go somewhere that I like,” says Tamar Kummel, a massage therapist from New York City. She plans to attend a friend's wedding in California and another on Cape Cod later this year.

“If you didn't have this invitation, you'd never go,” she says.

But there's a downside. Kummel's boyfriend, Sean Harris, who works at an investment banking company, has a limited number of vacation days and sees a three-day wedding extravaganza as a drain on his time.

“He finds it really inconsiderate of people,” Kummel says.

What's a modern wedding guest to do? A primer:

-- Do you have to attend?

“People who are having a destination wedding absolutely expect certain people can't attend the wedding for financial or schedule reasons,” says Carley Roney, co-founder of the wedding planning Web site TheKnot.com. But she advises against mentioning your finances when you decline. “It's such a guilt-tripping kind of thing,” she says. “Come up with a very appropriate reason, even if it has to be a white lie.”

Joanna Hanak of Broomfield, Colo., knew that some invited guests wouldn't attend her wedding last fall in Puerto Vallarta, Mexico. “We told people that we didn't expect them to come, but wanted them to know they were welcome,” she says.

Hopefully, guests will get plenty of warning.

“Couples should give their guests at least three or four months to plan by sending out detailed Save-the-Date cards,” says Lei Lydle, founder of the Atlanta-based WeddingBasics.com, which publishes bridal Web sites in several U.S. cities.

That's especially important if the wedding falls on a holiday weekend, when travel can be difficult and expensive.

-- Must you stay where the bride and groom suggest?

The couple will likely offer information on a range of accommodations, and they may have blocked rooms at several locations.

“In a situation where the bride and groom have not been so thoughtful,” says etiquette expert Samantha von Sperling, founder and director of Polished Social Image Consultants in New York, “go online and book your own accommodations and then you can call them and say, ‘I'm sorry but I couldn't afford the place you picked, so I've found something else just down the road. But I promise I'll be there and be on time.'"

-- Do you have to attend every planned event?

Destination weddings often involve a raft of events, including a cocktail party to welcome guests and a brunch the morning after the ceremony. If three solid days of bonding with relatives, co-workers or strangers doesn't appeal to you, Roney says it's fine to opt out of a few daytime events. But if you're skipping something, let someone in the bridal party know so that no one waits or searches for you.

-- What if you've got kids?

If children are invited (with destination weddings, they often are), your hosts may have some childcare planned. Ask whether kids are welcome at all the weekend's events, then ask if baby-sitting is available during any that are grown-ups only. If nothing has been arranged, you might contact the hotel where the wedding is happening or where you're staying and inquire about baby-sitting services.

Some guests, like New Yorkers Michele Clarke-Ceres and her husband, Rudy Ceres, see destination weddings as an opportunity for a private getaway sans kids.

“We take advantage of taking time away to just spend time alone,” she says.

-- Do you have to bring a gift?

“You can definitely scale back,” says Roney. “But unless they specifically say, 'the present is your presence,' you should buy a gift, even if it's a $30 something off their registry. People who are in that age range where they are going to a wedding every weekend can chip in with a group of people and do a group gift.”

Couples say 'I do, I do' to destination weddings; Florida is among

When Karen Matuszewski and Louis Glaza of Chicago were planning their wedding about this time last year, they decided they wanted a location that was warm and out of the norm.

So the couple researched various wedding destinations and decided to opt for Playa Paraiso, a private beachfront resort area near Cancun, Mexico.

Fifteen family members and friends joined the couple at adjacent all-inclusive Iberostar resorts for the April beachfront wedding and reception.

"I can't imagine a more romantic location than a gorgeous beach for a wedding. I'm on top of the world," Karen Glaza said just after her wedding.

Her father also was thrilled with the wedding location choice because it offered the family a great excuse to take a much-needed vacation.

"It's been fantastic to get away. We're thinking of coming back next year," Bill Matuszewski said.

Is a Destination Wedding For You?

Amy and Michael were excited to be getting married. What they were not excited about was the hassle of pulling together all of the details involved in pulling off a wedding. This left them with three options:

Grin and bear it.

Hire a wedding planner to take care of everything.

A Destination Wedding.

They chose the destination wedding and it turned out to be the perfect choice - for them.

They got married on a perfectly manicured lawn ringed with volcanic rocks, palm trees, and orchids against a back drop of the sun setting over the Pacific Ocean. Their destination wedding was almost like a fantasy. But that is not the real reason it worked out for them: The real reason it worked out for them is that with a destination wedding couples tend to be more focused on the big picture as opposed to the details.

In a wedding in an exotic or far away locale you have to let a wedding hosting company or at least a wedding planner in that locale that takes care of the details. Indeed many exotic locations you may not have many options for the various wedding related disciplines because the location you choose may well only have two florists, a caterer, and five photographers. With a destination wedding you have to let go of these details and accept things as they are.

This allows couples to view their wedding celebration as a fun filled getaway - where they are getting away to some exotic location with only a few guests to help them celebrate this most beautiful time of their lives.

As a matter of fact, destination weddings often turn into a combination wedding, honeymoon and a family reunion vacation all wrapped up in one.

There are several downsides to destination weddings to consider before you make your decision:

Your guest list is severely limited since most of us do not have friends and family with the resources to pick up and travel to whenever or wherever they want.

You have to be able to relinquish control over the details of your wedding and be happy with whatever the planner / hosting company provides you with with a destination wedding.

You have no opportunity to meet with your photographer in advance to see if his or her personality will set you at ease so your wedding photographs might not be a great value even if the photographer is incredible with the camera!

Cost. While a destination wedding sounds great, the reality is that the expense makes it impractical for most people. At the very least you will have to give your guests ample warning so they can budget and schedule the trip. But in many cases the bride and groom end up footing much or all of the cost for all of their guest's travel expenses. Ouch!

For these reasons, weddings in exotic locations tend to be more popular with older couples who can handle the financial burden and are less interested in the guest list and wedding details or wedding photography than they are with making memories with their loved ones.

In Amy and Michael's case, this option worked despite being a young couple because they are not detail oriented people and a destination wedding by the sea with their family and closest friends was the best memory for their wedding day that they could imagine.

Terrific Advice Concerning Destination Weddings As Shared By Two Gurus On The Topic

Please tell our readers how you started writing about weddings and why did you want to write about this subject matter?

Denise and Alan:

We began writing in 1989 as we were planning our own wedding; yep, we are still married today. As two starving college students in Austin, Texas, we quickly realized planning a wedding was a darn expensive endeavour. We wanted to know how to save money but still have a nice wedding without getting ripped off. We heard the horror stories from our friends and decided the world needed a consumer's guide to tying the knot. Bridal Bargains, our first wedding book, was the result of that effort it was first published in 1990 and now is in its 7th edition, with 500,000 copies sold. Our latest book, the Bridal Passport wedding planner (the Dollars & Sense Guide to Planning a Wedding) was published in December 2004.

Norm:

What in your opinion makes for a wonderful and unique wedding experience, where everyone would be left with fond memories? As a follow up, do you have to spend a great deal of money to have such a memorable experience?

Denise and Alan:

Think about the best weddings you have ever attended and what made them so memorable? Chances are it was a FUN event first and foremost. That might have been a combination of several factors, a unique setting, a great band, and so on. Focus on those factors when planning your own wedding. Conversely, realize there are many parts of a wedding that are expensive, but contribute little to the fun aspect of a wedding flowers, for example.

No, you don't have to go bankrupt to plan a memorable wedding! Yes, you may have to make a series of trade-offs to pull it off, but you can save and still have a fantastic wedding. Example: instead of a fancy downtown hotel, you can rent a historic home that lets you bring in your own caterer. That enables you to hold the total cost down, way under what the hotel would charge. The key: you save money in ways your guests don't see. A bottle of house wine from a hotel might be $50; that same bottle from a wholesale club like Sam's or Costco would run $10. Do you guests know the difference? No.

A destination wedding is another great way to save and you have a special setting for your wedding, without all the cost of a domestic affair.

Norm:

What tips would you have for destination brides who plan to bring along a wedding party? It's a growing trend for destination weddings to now have a fairly sizeable wedding party sometimes about 50, so it would be great to get their tips on group airline discounts, hotel blocks.

Denise and Alan:

Good news: the travel biz has awakened to the destination-wedding trend. As a result, many airlines and resorts have special discount packages for those planning a wedding. Airlines, for example, are courting destination weddings with special group discounts. Many resorts now have on-staff wedding planners to ease planning; and special discount rates for blocks of rooms.

The best advice: work with the airlines group booking department and/or the resort's meeting planners. And always double check to make sure any special rate you get is really a deal and simply price the same stay or fare on a travel web site. Most travel companies honestly offer groups a better deal than regular travelers; but it always makes sense to double check.

Norm:

Could you tell us something about the advantages and disadvantages pertaining to different unique venue weddings as: beach, park, museum, mountain ski lodge, tent, train, yacht, and other sometimes off- the- wall sites? (Perhaps you can add a few of your own.)

Denise and Alan:

Name a destination and you can get married there---ski buffs can take their vows on a mountain top in Telluride, beach fans on the white sands of Aruba and so on. The key advantage of a destination wedding: you are already in the place where you will honeymoon. That cuts down on the travel, as you just travel once to both the wedding and honeymoon.

With all unique venues and destination weddings, the biggest trade-off is control. You will have to trust a wedding planner at the venue to help coordinate the details. And that means not being a control freak. Many tropical venues may offer a stunning setting, but slim pickings when it comes to finding a photographer (there may just be one or two on an island). Ditto for other remote locales, like a ski resort.

Norm:

If you had to choose 5 ideal geographic wedding destinations from the point of view of ambiance, costs, etc, which ones would you chose and why?

Denise and Alan:

Hawaii is probably the best combo of both ambience and ease of use and no changing dollars into a foreign currency, a very developed tourist biz and so on. Specifically, we would recommend the north shore of Kauai in the summer; Maui or the Big Island in the winter.

Mexico offers the best value for the dollar. A falling dollar has made foreign travel pricey just about everywhere, but the peso remains a relative bargain for Americans. Resorts like Cabo, Cancun and Puerto Vallarta offer that beach wedding (and Caribbean water) at a discount price. Top pick: Cozumel, for its excellent snorkelling.

Telluride is our favorite mountain resort to tie the knot, summer or winter. Winter lets you enjoy a world-class ski mountain; summer is hiking, white water rafting. A selection of the top restaurants makes this a winner year around.

Orlando is among the best bargains going and most airlines offer deals on air/hotel packages here and the raft of entertainment options is second to none. And its more than just Disney . . . you will find Universal, Sea World and a plethora of water parks.

Norm:

Do you have any tips as to how couples can get the best value for their dollar when they are honeymooning?

Denise and Alan:

Two words: shoulder season. The shoulder season is the space between high and low seasons. No, you probably don't want to go to a tropical isle in August. How about April? In the Caribbean, you can find great deals in the shoulder season after Easter but before summer vacation times.

Hawaii is cheapest rate after New Year's until mid March, when spring break crowds end deals. Deals also abound in Hawaii in the fall, from Labor Day until just before Christmas. Hence, November would be a great time to go for a honeymoon.

Fall is also a great time to visit the wine country of California or the Rocky Mountains on a honeymoon.

Norm:

What are the 5 most important factors, cost-wise, a future bride and groom should bear in mind when planning their wedding and why?

Denise and Alan:

Location, guest count, time of day and wedding style are the most important budget factors. Some thoughts:

Location: Where do you envision the wedding? Reception? The location will drive much of the cost. A hotel reception is much more expensive than a home wedding, for example.

Guest count. A no brainer this clearly impacts the budget!

Time of day. A 2pm wedding is much less expensive than an evening affair, Why? Guests already have had lunch and are not expecting dinner! Brunch or lunch reception are also less expensive than dinner.

Wedding style: Do you have envision a garden wedding? A beach-side ceremony? Or a formal Catholic mass? The style of your wedding is a major driver of costs.

Norm:

How does one go about finding out about the different marriage regulations around the world? Is there a web site that we can click on et voilĂ  we have the answer?

Denise and Alan:

Wish there was! Unfortunately, it takes a bit of surfing. Start by identifying which countries you are interested in: then Google their official tourism site. Most tourism bureaus now have wedding links on their front page . . . in a few clicks, you can find out the marriage requirements. Another idea: ask the concierge of the hotel or resort you are considering to be married at. Many now have wedding planners on staff.

Norm:

How does one go about checking on the reliability of a hotel or resort when it pertains to service, food, etc especially if the hotel or resort is located in another state, province or country?

Denise and Alan:

The web! Most wedding sites (including ours, bridalbargiansbook.com) have online message boards. You can chat with other brides and find other couples who have been married where you are considering . . . yes, that is possible! Of course, you can always ask for references from the resort, but this can be unreliable. Sites like tripadvisor.com have detailed reviews of resorts by travellers and that can be very helpful.

With the average cost of a wedding topping $20,000, couples - particularly those who are making their second trip down the aisle - are looking for exciting alternatives to the typical church and reception soiree. For that reason, destination weddings are becoming increasingly popular. Today, the bride may wear a simple princess gown and the groom decked out in linen pants and an open-necked shirt - and both may be wearing sandals.

Ceremonies are taking place on Cancun beaches, in forests, and on cruise ships. Couples are leaving behind the carnival atmosphere and celebrity grandeur of the large wedding and are embracing simpler, more intimate settings for their ceremonies.

The Second Time - Another White Wedding?

That first wedding was a dream, a gorgeous long white wedding dress, a beautiful church, luscious bridesmaids and the groom in tails. Plus all the trimmings and a heavenly reception and a great honeymoon.

Upsetting as it is, at least 50 percent of marriages end in divorce. But we don't give up do we? Some 80 percent of us marry again. Hopefully, we're a little wiser, a little more experienced and a little more sensible the second time. And a little more relaxed.

The formal, traditional white wedding is not only expensive, it can be incredibly stressful despite the power of our dreams and fantasies and the years we spent imagining just how it would be. For most, the second time isn't seen as particularly suitable for a traditional white wedding.

While many of us settle for a simple exchange of vows and a much less formal party for friends and relatives, you may want to consider a couple delightful alternatives.

Over the past several years, destination weddings have become increasingly popular for various reasons. Not only can you celebrate your wedding with family and close friends, but you can party for a few days with them, and spend your honeymoon in the same romantic place. Destination weddings also cut down on the traditional wedding costs in some instances, because you will still be able to invite those 250+ guests, but only a small percentage of those invited will actually be able to attend. I have some personal experience in planning a destination wedding, as my wedding day was celebrated on a cruise ship headed for Mexico in 2003. We invited quite a large number of guests, more than we would have been able to if we had a traditional wedding, but only 40 guests were able to attend - which allowed us for a more intimate gathering. Having a destination wedding also allowed us to spend more time with each guest - something we could not have done if we had a wedding close to home. Everyone left with a long lasting memory of our event, and to this day our guests still talk about our wedding cruise!

When I was planning our wedding cruise in 2003, the wedding favor market had much to be desired. There was nothing that fit our day! Although this made it a bit difficult to plan, with a little imagination, I put together a wedding favor bag of goodies for our guests to take home. Thankfully, because of such an increase in destination weddings, wedding favor specialists have increased their lines of wedding favors, and there is now a large selection of destination themed favors available to suit every bride's taste and theme.

When planning a destination wedding, here are some"don'ts" when selecting your destination wedding favors:

  • Candles, chocolates, and candy can melt. It does not matter if you are not traveling to a warm climate, if you plan on taking your favors on a plane, the cargo holding areas can be quite hot. You should eliminate these favor ideas from your list.
  • Glass can break and anything you feel has the potential to be break - cross that off your list as well.
  • Item weight. Let's face it - you will be traveling not only with all your normal vacation items, but also with all your bridal items as well. Carrying another 30 plus pounds is not something you, your groom, or your attendants want to do.
  • Don't plan on having your favors shipped internationally. Not only is international shipping expensive, your favors could potentially get lost in customs, broken during handling, or heavily taxed by the government.
Here are some "do's" to think about when planning your destination wedding favors:
  • Think lightweight. If you plan on traveling with your favors, try to select something lightweight and small. Remember your guests have to pack these to take home too!
  • If you can't think of anything that will go with your destination theme, select something useful or practical - which has a special meaning to both of you.
  • If you rather not take favors with you, you can send your favors direct to your guests homes with their thank you notes. A bit more expensive, but your guests will be quite surprised when they find a little thank you token with your note.

  • Luggage tags: They're perfect for destination weddings, as most destination weddings require the guests to travel to a certain location. They more than likely will be used again - as many people simply use disposable tags or the tags that come pre-attached to luggage. With heart shape designs, to planes and cruise ships, luggage tags are perfect!
  • Bookmarks: one of the most popular pastimes for vacationers is reading a good book. Give them something they can use both home and away - a bookmark! With numerous shapes on the market you're sure to find a bookmark that will match your event. Bookmarks are also lightweight, and travel well.
  • For a more formal destination reception, place card holders also make a good choice. Usually lightweight and small, place card holders can double to hold seating assignments and then later on to hold photos, notes and recipe cards. Stay away from place card frames though, unless the front is made of pvc plastic. You do not want glass frames to break in transit.
  • Wine charms or bottle stoppers. With an average weight of 1/4 pound or less and available in many styles - these make a lightweight, good choice if your having a small affair.
  • Cocktail Mix Favors: when you think of laying on a warm sandy beach, many people also think of a nice tropical drink in hand.   • Gift bags / Gift Baskets: when your guests arrive to their destination, a lovely (but sometimes expensive) option is having a small gift basket in their hotel room. Soaps, sewing kit, manicure kit, mini clock, bookmarks, a small bottle of champagne or wine, non-perishable food items (cookies, crackers, snacks, mints), etc...will be a generous gesture.

I purchased from a discount party company tropical beach theme bags and stuffed them with a personalized tee shirt, cocktail mixes, wine stoppers, candy, a personalized cd I made with all the wedding songs we had at our reception, and some fun goodies such as leis, glow sticks, Hawaiian shirt key chains. Everyone carried around the tote bags with them during our cruise when they walked to the beach or pool, and everyone loved their little goodie bags!
